Terms & Conditions

Holistic Therapy Services Ltd, trading as IPHM

You must read and accept the appropriate terms and conditions below for your membership type in order to be accepted for IPHM accreditation.

All memberships are set to renew automatically. If you prefer not to have this setting enabled, please let us know in advance.

Misuse of the IPHM Logo and our Trustmark is taken seriously. Only those who have valid current membership may use these, and misuse, either by wearing your badge or showing your certificate without valid membership, may result in prosecution.


Cancellation Policy

Monthly Instalments, Minimum Period Terms and ending your Agreement

Important, please read if you have chosen to pay for your subscription via our instalment plan as these are the terms you are agreeing to. Your payments will be due monthly on the same date as you signed up. All payments are inclusive of VAT.

Your Pay Monthly Membership Agreement has a minimum term (the "Minimum Period"), which may be as short as 30 days. Once this period has ended, you may cancel your membership by providing 30 days' written notice. Membership fees remain payable during the notice period, and IPHM does not provide refunds for payments already made, except where required by law.

Please note the responsibility is on the member to inform us of any necessary changes such as a new email address or contact details. IPHM accepts no responsibility for emails not being received.

If monthly payments are not made on time, IPHM has the right to request the full balance outstanding. It is important to make your payments on the date stated once agreed. If you have any difficulty, please contact us immediately.

Unless specified otherwise, if you want to end the agreement during the Minimum Period, or we end this agreement as a result of your material breach, then you will have to pay an Early Termination Charge. This amounts to no more than your Monthly Subscription Charges multiplied by the number of months left in your minimum period.

Examples of Early Termination Charges

Example 1: You have applied for a 12 month therapist membership via instalments costing £8 a month and decide to stop trading after six months. This means you'll pay an Early Termination Charge for the last six months of your contract, which gives an Early Termination Charge of £50.00.

Example 2: You have applied for a 12 month standard training provider membership via instalments costing £17.50 a month and decide to stop training after six months. This means you'll pay an Early Termination Charge for the last six months of your contract, which gives an Early Termination Charge of £105.00.

We may end the Agreement if you don't pay any Charges that are due, or if you're bankrupt. We can also end the agreement if we reasonably believe the Service is being used fraudulently, illegally, in a way that harms our reputation, or to cause annoyance, amongst other things.

This is a rolling contract and renewal will continue unless cancelled. You will always be sent a reminder 10 days prior to automatic renewal, so if you wish to cancel, please ensure we are notified before your renewal certificate has been issued. Once issued, no refund will apply.


Refund Policy

All IPHM memberships are annual and run for a 12 month period. Whether you pay upfront or by monthly instalments, you are committing to the full 12 month term. This works in a similar way to insurance. Once your membership is active and your accreditation has been issued, we are unable to offer refunds simply because you change your mind.

Please read this section carefully before applying.

1. Application rejected by IPHM If we are unable to accept your application for any reason, you will receive a full refund. No admin charge applies.

2. Application accepted, change of mind before your certificate is issued In exceptional cases, where you change your mind very shortly after we have accepted your application and before your certificate has been issued or listing published, we may at our discretion offer a partial refund. An admin charge of £35 will be deducted to cover the work already carried out by our team. This is not an automatic right and is reviewed case by case.

3. Monthly instalment plans If you have chosen to pay by monthly instalments, your first payment is treated as a non refundable deposit. You are committing to the full 12 months and remain liable for all monthly payments during this period, even if you decide to stop trading or no longer wish to use your membership. Please refer to our Cancellation Policy above for details on Early Termination Charges.

4. Annual renewal Memberships renew automatically each year. We send a reminder 10 days before your renewal date, giving you the chance to cancel before the new term begins. Once your renewal has processed and your renewed certificate has been issued, no refund will apply.

5. Pre-requisites and missing information It is your responsibility to ensure you have all the required qualifications, insurance, and supporting documents in place before you apply. If your application cannot proceed because you are unable to provide the necessary evidence, this is not grounds for a refund once your application has been accepted in principle.

6. Exceptional circumstances We understand that life sometimes gets in the way. In cases of serious illness, bereavement, or other significant personal circumstances, we may, at our discretion, pause your membership for up to 3 months rather than offering a refund. Please contact us at to discuss your situation.

7. Immediate access to your membership IPHM membership and accreditation begin as soon as your application is approved, so your service is considered started immediately. When you tick the relevant consent box on our application form, you are confirming this and asking us to begin work on your accreditation right away. This means that once your certificate has been issued or your listing published, the 14 day cancellation right under the Consumer Contracts Regulations 2013 no longer applies. This does not affect your other statutory rights.

8. Incomplete Applications and Supporting Documentation Applicants are required to provide all supporting documentation requested as part of the accreditation process. Applications will not be approved until all required information and documentation have been received and satisfactorily reviewed.Where requested documentation is not provided within 28 days of our request, the application may be suspended or closed without further notice. Any application fees paid are non-refundable, and a new application and applicable fee may be required should the applicant wish to reapply at a later date.

9. Reviewing a decision If you would like us to review a refund decision, you can contact us at and we will look into this for you.


IPHM Complaints Procedure

At IPHM, we hold our accredited providers and practitioners to a high standard, not just in the quality of their work, but in how they treat the people they serve. If you have had a difficult experience, here is how to raise it.

Step 1: Contact your provider or practitioner first

In most cases, start directly with the person or organisation involved. We recommend doing this in writing so there is a clear record. Let them know what happened, what you expected, and what you would like them to do. They have 28 days to acknowledge your complaint and work toward a resolution.

Step 2: Bring it to IPHM

If 28 days have passed without a satisfactory response, or if you feel your concern has not been handled fairly, you can submit your complaint to us by filling out the form below. Please include a summary of what happened, the steps you have already taken, and any relevant correspondence.

We will review everything, speak with both parties, and provide a formal recommendation. We act as an independent voice in the process, with the aim of a fair outcome for everyone.

What we can and cannot do

As an accreditation body, we take the conduct of every accredited provider and practitioner seriously. Where someone is found to have acted poorly or failed to engage with a legitimate complaint, this will be taken into account as part of their ongoing accreditation.

We are not a legal body and cannot issue refunds or enforce financial outcomes. If your complaint involves a legal or financial dispute, we recommend seeking independent advice alongside raising it with us.

Right to Appeal

If you are an IPHM member and disagree with a decision regarding sanctions or accreditation withdrawal, you may submit a written appeal within 14 calendar days of receiving the decision. Appeals are reviewed by an independent panel and the panel's decision is final.

UK Members, Protected Titles

This section applies to UK based members only.

Certain professional titles are protected by law in the United Kingdom under the Health Professions Order 2001. Only individuals registered with the Health and Care Professions Council (HCPC) may use these titles. Misuse of a protected title is a criminal offence and may result in prosecution and a fine of up to £5,000.

IPHM accreditation does not grant you the right to use HCPC protected titles. You must be separately registered with the HCPC to use any of the titles listed below.

Important notes on related titles:

  • "Nutritionist" is NOT a protected title in the UK, but "Dietitian" IS protected
  • "Counsellor" and "Psychotherapist" are NOT currently protected titles in the UK (although professional voluntary registers exist with bodies such as BACP and UKCP)
  • "Psychologist" on its own is not specifically protected, but practitioner psychologist titles ARE protected. To avoid confusion, anyone using the word "Psychologist" in a professional context should be HCPC registered.
  • "Hypnotherapist" is NOT a protected title in the UK
  • "Reflexologist", "Reiki Practitioner", "Aromatherapist", "Massage Therapist" and most other holistic titles are NOT protected and are open to use, provided you have appropriate qualifications

Failure to comply with UK title protection laws is the responsibility of the individual member. IPHM accepts no liability for any prosecution or penalty arising from the misuse of protected titles by a member.

Pre-Requisites for All Therapists

  1. You should only be offering therapies within the limits of your competence and that you have undergone training for.
  2. All therapists must agree to abide by our Code of Ethics. 

Our Mission

Our aim at IPHM is to provide membership for all qualified therapists, creating an independent and unified standard of practice across the holistic and beauty professions. Accredited therapists are more likely to gain the confidence of the public when part of a recognised umbrella of professional practitioners.

We do not guarantee work in the industry, and members are responsible for abiding by the laws and licensing requirements of their own country.


What You Are Agreeing To

When you apply for IPHM membership, you are confirming that you hold the necessary skills and qualifications stated on your application. IPHM reviews all applicants on an individual basis and may request proof of any qualifications listed on your application at any time, either at the point of application or during your membership.

If you fail to provide requested evidence after your application has been processed, you will not be eligible for any refund and we hold the right to withdraw your membership.

As an accredited IPHM therapist, you must under no circumstances mislead your clients by offering therapies or services you are not qualified to provide. Misleading the public or your clients may result in the immediate removal of your listing with no refund offered.

IPHM holds no responsibility for anyone who has received treatments or consultations with an IPHM accredited therapist. By joining, you confirm that you have read and understood our Terms and Conditions and agree to follow our Code of Ethics.

Misuse of the IPHM logo, badge, or certificate, including using these without valid current membership, may result in legal proceedings.


Payment Flow and Delivery

Once you have made payment and subscribed to IPHM, your application will be processed within 14 working days, provided we have received all relevant documents. A signed copy of your certificate and ID badge (where applicable) will be sent to you as an attachment with your acceptance email, ready to download.

You may also request a posted hard copy via your member dashboard (postage charges apply).

Once your certificate has been issued, you have entered into a legal and binding contract with IPHM as set out below.

Cancellation Policy

Yearly Subscriptions

If you have paid via yearly subscription, payments are deducted automatically by PayPal, Stripe, or our chosen payment provider on each renewal date. We send reminders 10 days before renewal but cannot guarantee these are received.

To cancel, please notify us at least 7 days before your renewal date, or as soon as you receive your reminder. Once your renewal certificate has been issued, no refund will apply.

It is the member's responsibility to inform us of any changes such as a new email address or contact details. IPHM accepts no responsibility for emails not being received but will resend a copy of your reminder on request.

If you pay via PayPal subscription, you must cancel the subscription directly through your PayPal account. We will assist on request, but cancellation must be completed by you.

Once your subscription is cancelled, your details and listing will be removed from our website and you will no longer be entitled to use the letters IPHM after your name, or use our logo, badge, or certificate.

Monthly Instalments, Minimum Period and ending your Agreement

Important, please read carefully if you have chosen to pay by instalments.

Your monthly payments will be due on the same date each month as you signed up. All payments are inclusive of VAT.

Your Pay Monthly Membership Agreement has a minimum term of 12 months. After this period, you may end the agreement by giving us 30 days' notice (unless any other statutory or regulatory rules apply).

If monthly payments are not made on time, IPHM has the right to request the full balance outstanding. If you have any difficulty making payment, please contact us immediately.

If you wish to end the agreement during the Minimum Period, or if we end the agreement as a result of your material breach, you will be required to pay an Early Termination Charge equal to your remaining monthly payments for the rest of the minimum period.

Example: If you have applied for a 12 month therapist membership via monthly subscription costing £15 a month and decide to stop trading after six months, you will pay an Early Termination Charge for the remaining six months of your contract, totalling £90.

We may end the agreement without your consent if you have outstanding payments due, or if we have reason to believe the service is being used fraudulently, illegally, or in a way that could harm our reputation.

Cancellation midway through renewal

This is a rolling contract and will renew automatically unless cancelled. You will always be sent a reminder 10 days prior to renewal. Please ensure we are notified before your renewal certificate has been issued. Once issued, no refund will apply, and an Early Termination Charge will be due if you wish to cancel midway through your renewal year.

Amendment of listing fees

Amendments to your listing can be requested via your member dashboard. Standard amendments are made free of charge within 48 hours. Significant changes such as a change of trading name, certificate, or in-depth profile updates may incur an admin fee.


How to Cancel Your Membership

If you have set up a yearly PayPal subscription, you must cancel this directly through PayPal. If you request a cancellation, we will send you instructions on how to do this.

It is the member's responsibility to cancel PayPal subscriptions directly. IPHM will not be eligible to refund payments where this has not been completed and your renewal certificate has already been issued. We are happy to assist if needed.

Although you may receive a cancellation letter from IPHM, you must still ensure your PayPal subscription has been cancelled by you.

This is a rolling contract and renewal will continue unless cancelled. You will always be sent a reminder 10 days prior to automatic renewal, so please ensure we are notified before your renewal certificate has been issued.

On cancellation, you must:

  • Remove the IPHM logo from any website or paperwork showing you as an accredited member
  • Stop using your IPHM membership badge, certificate, and the letters IPHM after your name
  • Destroy any IPHM accreditation certificates and plaques

Failure to do so may result in membership fees being owed and made payable to IPHM, and may result in legal proceedings.


Member Obligations and Conduct

As an IPHM accredited therapist, you agree to:

  • Hold valid, in date professional insurance covering your practice
  • Work only within the scope of your qualifications and competence
  • Treat clients ethically, professionally, and with respect at all times
  • Respond to any client complaints within 28 days
  • Provide accurate, truthful information on your application and member profile
  • Notify IPHM promptly of any changes to your qualifications, insurance, contact details, or business circumstances
  • Comply with the laws and licensing requirements of the country in which you practise
  • Not bring IPHM into disrepute through your actions, behaviour, or communications

Failure to meet these obligations may result in suspension or withdrawal of your accreditation.


Suspension and Withdrawal of Accreditation

IPHM reserves the right to suspend or withdraw your accreditation at any time if:

  • You provide false or misleading information at application or during your membership
  • You fail to maintain valid professional insurance
  • You receive criminal convictions relevant to your practice
  • You receive repeated complaints, or fail to engage with the complaints process
  • You misuse the IPHM logo, badge, or certificate
  • You breach our Code of Ethics
  • You fail to make payments due on your account
  • You bring IPHM into disrepute

Withdrawal of accreditation may take place without notice in serious cases. No refund will be issued where accreditation is withdrawn due to a member's breach of these terms.


Complaints Procedure

IPHM will mediate where a complaint is unresolved between a member and a complainant, or where a member has refused to handle a complaint.

Anyone wishing to make a complaint about an IPHM member must first contact the member directly. Only if this is not resolved within 28 days should they request an IPHM complaints form.

IPHM reserves the right to suspend or withdraw accreditation depending on the nature and severity of the complaint, and the number of complaints lodged against a member. No refund will be issued if a complaint is upheld.

If you are an IPHM member and disagree with a decision regarding sanctions or accreditation withdrawal, you may submit a written appeal within 14 calendar days of receiving the decision. Appeals are reviewed by an independent panel and the panel's decision is final.


Arrears

Any outstanding payments will be requested in the form of an invoice. Members must ensure all payments are made in full and on time so that financial records remain accurate.

Failure to pay may result in additional fees, charges, or legal action. Payment plans can be arranged on request, please contact us as soon as possible if you are experiencing difficulty.


Intellectual Property

The IPHM name, logo, Trustmark, badges, certificates, and all related branding are the intellectual property of Holistic Therapy Services Ltd. Members are granted a limited, non-transferable licence to use these for the duration of their valid membership only.

On cancellation, suspension, or withdrawal of accreditation, all use of IPHM intellectual property must cease immediately. This includes removing the logo from websites, social media, marketing materials, business cards, and any other paperwork.

Misuse of IPHM intellectual property may result in legal proceedings.


Limitation of Liability

IPHM provides accreditation services only. We do not provide therapy, training, or treatment, and we accept no liability for the actions, behaviour, or claims of any IPHM member.

To the fullest extent permitted by law, IPHM's total liability to any member in any 12 month period shall not exceed the membership fees paid by that member during that period.

Nothing in these terms limits or excludes any liability that cannot be limited or excluded under English law.


Data Protection

IPHM handles all member data in line with UK GDPR and our Privacy Policy. By becoming a member, you consent to us holding and processing your data for the purposes of administering your membership, accreditation, and related services.

You may request a copy of the data we hold about you at any time by contacting . Full details of how we use your data are available in our Privacy Policy.


Communications

By becoming a member, you agree to receive essential service communications from IPHM, including renewal reminders, accreditation updates, complaints communications, and important notices about your membership. These cannot be unsubscribed from while your membership is active.

You may separately opt in to receive marketing communications, including newsletters, event invitations, and information about IPHM Growth Hub. You can unsubscribe from marketing communications at any time using the link in any marketing email.

We will never pass your details to third parties or send spam.


Changes to These Terms

IPHM may update these Terms and Conditions from time to time. You will be notified of any material changes via email and will be asked to confirm acceptance of updated terms when you next log into your member dashboard.

If government regulations or guidelines change, IPHM reserves the right to modify or remove any therapies that no longer align with these requirements. Members should check these terms regularly for any updates that may affect their listing.


Force Majeure

IPHM shall not be liable for any failure or delay in performing our obligations where such failure results from circumstances beyond our reasonable control, including but not limited to acts of God, pandemic, war, civil unrest, government action, fire, flood, internet or server outages, or industrial action.


Governing Law and Jurisdiction

These Terms and Conditions are governed by the laws of England and Wales. Any disputes arising shall be subject to the exclusive jurisdiction of the courts of England and Wales.


Third Party Rights

This contract is between you (the member) and Holistic Therapy Services Ltd (trading as IPHM). No third party has any right to enforce any term of this agreement.


Your Responsibility

It is the responsibility of all members to check their own country's regulations and to abide by these.

UK members: Please refer to the Protected Titles section in our General Terms and Conditions for important information about HCPC protected titles you may not use without HCPC registration.

Training Provider

You must read and accept these terms in order to be accepted for IPHM accreditation as a training provider.


Pre-Requisites for All Training Providers

  1. You and your course material will be accredited by IPHM. Your course materials will be required for evaluation. You confirm that you hold full copyright for all course material you submit. Copyright infringement is taken seriously. https://www.iphm.co.uk/resources/iphm-standards/
  2. If your courses include advanced level training, either online or face to face, it is your responsibility to ensure your students have completed the relevant basic training first and any necessary case studies. For certain training courses, it is your responsibility to ensure your students meet all required pre-requisites.
  3. Insurance is recommended but not always essential. Discounted insurance rates are available for IPHM accredited training providers offering courses online and face to face.
  4. If you have other people offering your courses on your behalf, they must either be registered with IPHM as Sub-Educators, or, if working and paid by you directly, they must be listed on your application as approved educators.
  5. As a training provider, you can generate certificates for your qualified students through your member dashboard. Certificates must only be issued once students have completed your training and acquired the necessary skills to offer their services in the subjects taught. Please note: providing a qualification to your students does not guarantee their accreditation with IPHM. It indicates that they have received training from an IPHM accredited training provider. To become an IPHM accredited therapist, students must register with IPHM directly. You can refer your students and earn a referral fee for each one accepted, full details are available in your member dashboard.

What You Are Agreeing To

Offering workshops and direct training You are confirming that you, and any educators working under your training school, hold the necessary qualifications and experience to offer courses to students in a professional and responsible manner.

Any training provider found to be in breach of this may have their listing and membership removed with no refund offered.

If you employ training providers who will be offering your courses, you must inform us of their full name and details on your application. If you have other training providers working on a self-employed basis and wishing to offer your courses as approved IPHM trainers, they must be registered as IPHM Sub-Educators.

Online and distance learning courses You are confirming that you hold full copyright for all course material you provide, and that the content is unique to your training school or that you have full permission to use it. Invasive courses will not be accredited by IPHM for online learning.

Course material and copyright Any course material submitted must have been written by you, written for you, or used with full permission. You are responsible for any copyright infringement claims arising from material submitted to IPHM.

Creating student certificates Only courses shown on your listing have been approved by IPHM. Please do not use the certificate creator for any course that has not been pre-approved. To add a new course at any time, please submit a request via your dashboard for it to be added to your listing.

Training providers with Sub-Educators It is your responsibility to ensure your educators hold the correct qualifications and experience to deliver the training they are offering on your behalf. Sub-Educator membership is only valid while the lead training provider's membership is up to date with payments.

You are responsible for the conduct, quality, and compliance of all Sub-Educators working under your training school. Any complaints, breaches, or misuse by a Sub-Educator may affect your accreditation.

Use of IPHM logo on certificates Use of the IPHM logo on certificates is permitted only for courses we have approved and which appear on your listing. If any of your students wish to join IPHM as accredited therapists, they must contact us directly. Your qualified students are not IPHM accredited unless they have completed and submitted their own application and yearly subscription to IPHM.


Issuing Certificates as an IPHM Training Provider

Use of your trading name and IPHM logo Certificates issued to students should clearly display your trading name alongside the IPHM logo. This ensures students recognise the course provider and the association with IPHM's accreditation standards.

Issuing certificates on behalf of another company If you are issuing certificates on behalf of another company or organisation, the certificate must state "on behalf of [Company or Organisation Name]". This distinction is essential to maintain the integrity of the IPHM Trustmark and to prevent any confusion regarding the primary accrediting entity.

Adhering to these guidelines helps safeguard IPHM's reputation while ensuring clarity and transparency for students. Please contact us if you require assistance updating your certificates.


Payment Flow and Delivery

Once you have made payment and subscribed to IPHM, your application will be processed within 14 working days, provided we have received all relevant documents including your sample course material.

A signed copy of your certificate will be sent to you as an attachment with your acceptance email, ready to download. You may request a posted hard copy via your member dashboard (postage charges apply).

Once your certificate has been issued, you have entered into a legal and binding contract with IPHM as set out below.


Refund Policy

All IPHM memberships are annual and run for a 12 month period. Whether you pay upfront or by monthly instalments, you are committing to the full 12 month term. This works in a similar way to insurance. Once your membership is active and your accreditation has been issued, we are unable to offer refunds simply because you change your mind.

Please read this section carefully before applying.

1. Application rejected by IPHM If we are unable to accept your application for any reason, you will receive a full refund. No admin charge applies.

2. Application accepted, change of mind before your certificate is issued In exceptional cases, where you change your mind very shortly after we have accepted your application and before your certificate has been issued or listing published, we may at our discretion offer a partial refund. An admin charge of £35 will be deducted to cover the work already carried out by our team. This is not an automatic right and is reviewed case by case.

3. Monthly instalment plans If you have chosen to pay by monthly instalments, your first payment includes a non refundable deposit and forms part of your commitment to the full 12 month term. You remain liable for all monthly payments during this period, even if you decide to stop trading or no longer wish to use your membership. Please refer to our Cancellation Policy below for details on Early Termination Charges. Full pricing details are available on our pricing page.

4. Annual renewal Memberships renew automatically each year. We send a reminder 10 days before your renewal date, giving you the chance to cancel before the new term begins. Once your renewal has processed and your renewed certificate has been issued, no refund will apply.

5. Pre-requisites and missing information It is your responsibility to ensure you have all the required qualifications, copyright permissions, course materials, and supporting documents in place before you apply. If your application cannot proceed because you are unable to provide the necessary evidence, this is not grounds for a refund once your application has been accepted in principle.

6. Course standards support If your current credentials or course materials do not meet our standards, we may offer to work with you to bring them up to standard. Once this support process begins, no refund will be issued if you decide to cancel, and an admin fee may apply to cover the time and resources already invested.

7. Exceptional circumstances We understand that life sometimes gets in the way. In cases of serious illness, bereavement, or other significant personal circumstances, we may, at our discretion, pause your membership for up to 3 months rather than offering a refund. Please contact us at to discuss your situation.

8. Immediate access to your membership Because IPHM membership and accreditation begin as soon as your application is approved, your service is considered started immediately. By submitting your application and accepting our terms, you are asking us to begin work on your accreditation right away. This means the 14 day cancellation right under the Consumer Contracts Regulations 2013 does not apply once your certificate has been issued or your listing published.

9. Incomplete Applications and Supporting Documentation
Applicants are required to provide all supporting documentation requested as part of the accreditation process. Applications will not be approved until all required information and documentation have been received and satisfactorily reviewed.
Where requested documentation is not provided within the timeframe specified by the organisation, the application may be suspended or closed without further notice. Any application fees paid are non-refundable, and a new application and applicable fee may be required should the applicant wish to reapply at a later date.


Cancellation Policy

Yearly Subscriptions

If you have paid via yearly subscription, payments are deducted automatically by PayPal, Stripe, or our chosen payment provider on each renewal date. We send reminders 10 days before renewal but cannot guarantee these are received.

To cancel, please notify us at least 7 days before your renewal date, or as soon as you receive your reminder. Once your renewal certificate has been issued, no refund will apply.

It is the member's responsibility to inform us of any changes such as a new email address or contact details. IPHM accepts no responsibility for emails not being received but will resend a copy of your reminder on request.

If you pay via PayPal subscription, you must cancel the subscription directly through your PayPal account. We will assist on request, but cancellation must be completed by you.

Once your subscription is cancelled, your details and listing will be removed from our website. You will no longer be entitled to use the IPHM logo, Trustmark, badges, or refer to your school as IPHM accredited.

Monthly Instalments, Minimum Period and ending your Agreement

Important, please read carefully if you have chosen to pay by instalments.

Your monthly payments will be due on the same date each month as you signed up. All payments are inclusive of VAT.

Your Pay Monthly Membership Agreement has a minimum term of 12 months. After this period, you may end the agreement by giving us 30 days' notice (unless any other statutory or regulatory rules apply).

If monthly payments are not made on time, IPHM has the right to request the full balance outstanding. If you have any difficulty making payment, please contact us immediately.

If you wish to end the agreement during the Minimum Period, or if we end the agreement as a result of your material breach, you will be required to pay an Early Termination Charge equal to your remaining monthly payments for the rest of the minimum period.

Example: If you have applied for a 12 month standard training provider membership via monthly subscription costing £25 a month and decide to stop training after six months, you will pay an Early Termination Charge for the remaining six months of your contract, totalling £150.

We may end the agreement without your consent if you have outstanding payments due, or if we have reason to believe the service is being used fraudulently, illegally, or in a way that could harm our reputation.

Cancellation midway through renewal

This is a rolling contract and will renew automatically unless cancelled. You will always be sent a reminder 10 days prior to renewal. Please ensure we are notified before your renewal certificate has been issued. Once issued, no refund will apply, and an Early Termination Charge will be due if you wish to cancel midway through your renewal year.

Amendment of listing fees

Amendments to your listing can be requested via your member dashboard. Standard amendments are made free of charge within 48 hours. Significant changes such as a change of trading name, certificate, or in-depth profile updates may incur an admin fee.


How to Cancel Your Membership

If you have set up a yearly PayPal subscription, you must cancel this directly through PayPal. If you request a cancellation, we will send you instructions on how to do this.

It is the member's responsibility to cancel PayPal subscriptions directly. IPHM will not be eligible to refund payments where this has not been completed and your renewal certificate has already been issued. We are happy to assist if needed.

Although you may receive a cancellation letter from IPHM, you must still ensure your PayPal subscription has been cancelled by you.

This is a rolling contract and renewal will continue unless cancelled. You will always be sent a reminder 10 days prior to automatic renewal, so please ensure we are notified before your renewal certificate has been issued.

On cancellation, you must:

  • Remove the IPHM logo, Trustmark, and Training Provider Approved logos from any website, marketing materials, or paperwork
  • Stop issuing student certificates featuring the IPHM logo or referring to IPHM accreditation
  • Stop describing your training school or courses as IPHM accredited
  • Destroy any IPHM accreditation certificates and plaques

Failure to do so may result in membership fees being owed and made payable to IPHM, and may result in legal proceedings.

Note on existing students: Students who completed your training while you held valid IPHM accreditation may retain their certificates. However, you cannot issue new IPHM branded certificates after your membership has ended.


Member Obligations and Conduct

As an IPHM accredited training provider, you agree to:

  • Hold the necessary qualifications and experience to deliver the courses on your listing
  • Hold full copyright for all course material, or have full permission to use it
  • Only issue IPHM branded certificates for courses approved on your listing
  • Treat students ethically, professionally, and with respect at all times
  • Respond to any student or client complaints within 28 days
  • Provide accurate, truthful information on your application and member profile
  • Notify IPHM promptly of any changes to your courses, qualifications, contact details, or business circumstances
  • Be responsible for the conduct, qualifications, and compliance of all Sub-Educators working under your training school
  • Comply with the laws and licensing requirements of the country in which you operate
  • Not bring IPHM into disrepute through your actions, behaviour, or communications

Failure to meet these obligations may result in suspension or withdrawal of your accreditation.


Suspension and Withdrawal of Accreditation

IPHM reserves the right to suspend or withdraw your accreditation at any time if:

  • You provide false or misleading information at application or during your membership
  • You issue IPHM branded certificates for courses not approved on your listing
  • You fail to maintain the standards of your approved courses
  • You receive criminal convictions relevant to your work as a training provider
  • You receive repeated complaints, or fail to engage with the complaints process
  • You misuse the IPHM logo, Trustmark, badges, or certificates
  • You breach our Code of Ethics
  • You fail to make payments due on your account
  • You bring IPHM into disrepute
  • A Sub-Educator working under your school is found to be in serious breach of these terms

Withdrawal of accreditation may take place without notice in serious cases. No refund will be issued where accreditation is withdrawn due to a member's breach of these terms.


Complaints Procedure

IPHM will mediate where a complaint is unresolved between a training provider and a student or client, or where a member has refused to handle a complaint.

Anyone wishing to make a complaint about an IPHM training provider must first contact the provider directly. Only if this is not resolved within 28 days should they request an IPHM complaints form.

IPHM reserves the right to suspend or withdraw accreditation depending on the nature and severity of the complaint, and the number of complaints lodged against a member. No refund will be issued if a complaint is upheld.

If you are an IPHM member and disagree with a decision regarding sanctions or accreditation withdrawal, you may submit a written appeal within 14 calendar days of receiving the decision. Appeals are reviewed by an independent panel and the panel's decision is final.


Arrears

Any outstanding payments will be requested in the form of an invoice. Members must ensure all payments are made in full and on time so that financial records remain accurate.

Failure to pay may result in additional fees, charges, or legal action. Payment plans can be arranged on request, please contact us as soon as possible if you are experiencing difficulty.


Intellectual Property

The IPHM name, logo, Trustmark, Training Provider Approved logos, badges, certificates, and all related branding are the intellectual property of Holistic Therapy Services Ltd. Members are granted a limited, non-transferable licence to use these for the duration of their valid membership only.

On cancellation, suspension, or withdrawal of accreditation, all use of IPHM intellectual property must cease immediately. This includes removing logos from websites, social media, marketing materials, business cards, certificates, and any other paperwork.

You also confirm that all course materials submitted to IPHM remain your intellectual property. You grant IPHM a limited licence to review and assess this material for accreditation purposes only. IPHM will not reproduce, share, or use your course material outside the scope of accreditation review.

Misuse of IPHM intellectual property, or false claims of IPHM accreditation, may result in legal proceedings.


Limitation of Liability

IPHM provides accreditation services only. We do not deliver training, courses, or treatment, and we accept no liability for the actions, behaviour, course content, or claims of any IPHM training provider or their Sub-Educators.

IPHM holds no responsibility to students who have received certificates or training, should the training provider in question not abide by our Terms and Conditions or Code of Ethics, or fail to renew their membership with us.

To the fullest extent permitted by law, IPHM's total liability to any member in any 12 month period shall not exceed the membership fees paid by that member during that period.

Nothing in these terms limits or excludes any liability that cannot be limited or excluded under English law.


Data Protection

IPHM handles all member data in line with UK GDPR and our Privacy Policy. By becoming a member, you consent to us holding and processing your data for the purposes of administering your membership, accreditation, and related services.

You may request a copy of the data we hold about you at any time by contacting . Full details of how we use your data are available in our Privacy Policy.


Communications

By becoming a member, you agree to receive essential service communications from IPHM, including renewal reminders, accreditation updates, complaints communications, and important notices about your membership. These cannot be unsubscribed from while your membership is active.

You may separately opt in to receive marketing communications, including newsletters, event invitations, and information about IPHM Growth Hub. You can unsubscribe from marketing communications at any time using the link in any marketing email.

We will never pass your details to third parties or send spam.


Changes to These Terms

IPHM may update these Terms and Conditions from time to time. You will be notified of any material changes via email and will be asked to confirm acceptance of updated terms when you next log into your member dashboard.

If government regulations or guidelines change, IPHM reserves the right to modify or remove any courses or therapies that no longer align with these requirements. Members should check these terms regularly for any updates that may affect their listing.


Force Majeure

IPHM shall not be liable for any failure or delay in performing our obligations where such failure results from circumstances beyond our reasonable control, including but not limited to acts of God, pandemic, war, civil unrest, government action, fire, flood, internet or server outages, or industrial action.


Governing Law and Jurisdiction

These Terms and Conditions are governed by the laws of England and Wales. Any disputes arising shall be subject to the exclusive jurisdiction of the courts of England and Wales.


Third Party Rights

This contract is between you (the training provider) and Holistic Therapy Services Ltd (trading as IPHM). No third party has any right to enforce any term of this agreement.


Your Responsibility

It is the responsibility of all members to check their own country's regulations and to abide by these.

What is a Sub-Educator?

A Sub-Educator is an individual approved to deliver IPHM accredited courses on behalf of a registered IPHM Training Provider. Sub-Educator membership exists alongside a parent Training Provider's membership and cannot exist independently.

Your Sub-Educator status is linked to your parent Training Provider's membership. If their membership lapses, is cancelled, or is withdrawn, your Sub-Educator status will also end automatically.


Pre-Requisites for All Sub-Educators

  1. You must be approved by your parent Training Provider to deliver their IPHM accredited courses.
  1. You must hold the necessary qualifications and experience to deliver the courses listed on your profile to a professional standard.
  1. You must agree to abide by our Code of Ethics. [Link to Code of Ethics]
  1. Your parent Training Provider must hold valid, in date IPHM accreditation at all times for your Sub-Educator status to remain active.
  1. You may only deliver courses that are approved on your parent Training Provider's IPHM listing. You cannot independently add new course titles, these must be requested by the parent Training Provider through their dashboard.

What You Are Agreeing To

Offering workshops and direct training You are confirming that you hold the necessary qualifications and experience to deliver the courses to your students in a professional and responsible manner.

The IPHM logo must not be used on any certificates for courses that are not approved or listed on your profile, or on your parent Training Provider's profile. Misleading students may result in the immediate removal of your listing.

Any Sub-Educator found to be in breach of these terms may have their listing and membership removed with no refund offered.

  • Your Sub-Educator status will end automatically if your parent Training Provider's membership lapses, is cancelled, or is withdrawn
  • You may only deliver courses approved on your parent Training Provider's listing
  • Your parent Training Provider is responsible for ensuring your qualifications and experience meet IPHM standards
  • Any complaints about your conduct may also affect your parent Training Provider's accreditation
  • If you wish to operate independently as a Training Provider in your own right, you must apply for full IPHM Training Provider membership separately

  • Remove the IPHM logo, Trustmark, and Sub-Educator badges from any website, marketing materials, or paperwork
  • Stop issuing student certificates featuring the IPHM logo or referring to IPHM accreditation
  • Stop describing yourself as an IPHM accredited Sub-Educator
  • Destroy any IPHM accreditation certificates and plaques

Failure to do so may result in membership fees being owed and made payable to IPHM, and may result in legal proceedings.

Note on existing students: Students who completed their training with you while you held valid IPHM accreditation may retain their certificates. However, you cannot issue new IPHM branded certificates after your membership has ended.


Member Obligations and Conduct

As an IPHM accredited Sub-Educator, you agree to:

  • Hold the necessary qualifications and experience to deliver the courses on your listing
  • Only deliver courses approved on your listing or your parent Training Provider's listing
  • Hold full copyright for course material, or have full permission from your parent Training Provider or original author to use it
  • Only issue IPHM branded certificates for approved courses
  • Treat students ethically, professionally, and with respect at all times
  • Respond to any student or client complaints within 28 days
  • Provide accurate, truthful information on your application and member profile
  • Notify IPHM promptly of any changes to your qualifications, contact details, or your relationship with your parent Training Provider
  • Comply with the laws and licensing requirements of the country in which you operate
  • Not bring IPHM or your parent Training Provider into disrepute through your actions, behaviour, or communications

Failure to meet these obligations may result in suspension or withdrawal of your accreditation.


Suspension and Withdrawal of Accreditation

IPHM reserves the right to suspend or withdraw your accreditation at any time if:

  • You provide false or misleading information at application or during your membership
  • You issue IPHM branded certificates for courses not approved on your listing
  • You receive criminal convictions relevant to your work as a Sub-Educator
  • You receive repeated complaints, or fail to engage with the complaints process
  • You misuse the IPHM logo, Trustmark, badges, or certificates
  • You breach our Code of Ethics
  • You fail to make payments due on your account
  • You bring IPHM into disrepute
  • Your parent Training Provider's membership lapses, is cancelled, or is withdrawn

Withdrawal of accreditation may take place without notice in serious cases. No refund will be issued where accreditation is withdrawn due to a member's breach of these terms or due to the parent Training Provider's membership ending.


Complaints Procedure

IPHM will mediate where a complaint is unresolved between a Sub-Educator and a student or client, or where a Sub-Educator has refused to handle a complaint.

Anyone wishing to make a complaint about an IPHM Sub-Educator must first contact the Sub-Educator directly. Only if this is not resolved within 28 days should they request an IPHM complaints form.

Complaints made about a Sub-Educator may also be brought to the attention of the parent Training Provider, as the Training Provider holds responsibility for educators delivering their courses.

IPHM reserves the right to suspend or withdraw accreditation depending on the nature and severity of the complaint, and the number of complaints lodged against a member. No refund will be issued if a complaint is upheld.

If you are an IPHM Sub-Educator and disagree with a decision regarding sanctions or accreditation withdrawal, you may submit a written appeal within 14 calendar days of receiving the decision. Appeals are reviewed by an independent panel and the panel's decision is final.


Arrears

Any outstanding payments will be requested in the form of an invoice. Members must ensure all payments are made in full and on time so that financial records remain accurate.

Failure to pay may result in additional fees, charges, or legal action. Payment plans can be arranged on request, please contact us as soon as possible if you are experiencing difficulty.


Intellectual Property

The IPHM name, logo, Trustmark, badges, certificates, and all related branding are the intellectual property of Holistic Therapy Services Ltd. Sub-Educators are granted a limited, non-transferable licence to use these for the duration of their valid membership only.

On cancellation, suspension, or withdrawal of accreditation, all use of IPHM intellectual property must cease immediately. This includes removing logos from websites, social media, marketing materials, business cards, certificates, and any other paperwork.

You confirm that all course materials you deliver are either your own intellectual property, owned by your parent Training Provider with permission to use, or used with full permission from the original author. You grant IPHM a limited licence to review and assess this material for accreditation purposes only.

Misuse of IPHM intellectual property, or false claims of IPHM accreditation, may result in legal proceedings.


Limitation of Liability

IPHM provides accreditation services only. We do not deliver training, courses, or treatment, and we accept no liability for the actions, behaviour, course content, or claims of any IPHM Sub-Educator or their parent Training Provider.

IPHM holds no responsibility to students who have received certificates or training, should the Sub-Educator or parent Training Provider in question not abide by our Terms and Conditions or Code of Ethics, or fail to renew their membership with us.

To the fullest extent permitted by law, IPHM's total liability to any member in any 12 month period shall not exceed the membership fees paid by that member during that period.

Nothing in these terms limits or excludes any liability that cannot be limited or excluded under English law.


Data Protection

IPHM handles all member data in line with UK GDPR and our Privacy Policy. By becoming a member, you consent to us holding and processing your data for the purposes of administering your membership, accreditation, and related services.

You may request a copy of the data we hold about you at any time by contacting . Full details of how we use your data are available in our Privacy Policy.


Communications

By becoming a member, you agree to receive essential service communications from IPHM, including renewal reminders, accreditation updates, complaints communications, and important notices about your membership. These cannot be unsubscribed from while your membership is active.

You may separately opt in to receive marketing communications, including newsletters, event invitations, and information about IPHM Growth Hub. You can unsubscribe from marketing communications at any time using the link in any marketing email.

We will never pass your details to third parties or send spam.


Changes to These Terms

IPHM may update these Terms and Conditions from time to time. You will be notified of any material changes via email and will be asked to confirm acceptance of updated terms when you next log into your member dashboard.

If government regulations or guidelines change, IPHM reserves the right to modify or remove any courses or therapies that no longer align with these requirements. Members should check these terms regularly for any updates that may affect their listing.


Force Majeure

IPHM shall not be liable for any failure or delay in performing our obligations where such failure results from circumstances beyond our reasonable control, including but not limited to acts of God, pandemic, war, civil unrest, government action, fire, flood, internet or server outages, or industrial action.


Governing Law and Jurisdiction

These Terms and Conditions are governed by the laws of England and Wales. Any disputes arising shall be subject to the exclusive jurisdiction of the courts of England and Wales.


Third Party Rights

This contract is between you (the Sub-Educator) and Holistic Therapy Services Ltd (trading as IPHM). No third party has any right to enforce any term of this agreement, except that your parent Training Provider may be notified of your membership status, complaints, or any actions taken against your accreditation.


Your Responsibility

It is the responsibility of all members to check their own country's regulations and to abide by these.

Public IPHM Disclaimer Notice

Disclaimer: Our directories are designed to provide an advertising space where holistic and beauty professionals can promote their work and courses online. Whilst we maintain a good standard of listings on the site, the fact that a Sub-Educator's details are on display does not imply any personal or professional recommendation by us.

We accept the details offered to us by each Sub-Educator in good faith, including their qualifications, course content, and credentials. Each of our listed Sub-Educators should be happy to provide evidence of their advertised qualifications and professional standards if asked. We suggest students may want to request this before enrolling on any course, for their own peace of mind.

IPHM is not responsible for any actions, behaviour, course content, or claims made by Sub-Educators or their parent Training Providers listed on this site.

You must read and accept these terms in order to be accepted as an IPHM Affiliate Member.


Important: Affiliated vs Accredited

Please read this section carefully before applying.

IPHM Affiliate Membership is NOT the same as IPHM Accreditation.

  • IPHM Accreditation means your courses have been individually reviewed and approved by IPHM, allowing you to display the IPHM Trustmark and accreditation logos for those specific courses.
  • IPHM Affiliate Membership means your training school, platform, or organisation is in formal affiliation with IPHM. Your platform and courses have been reviewed for quality and standards, but they are not individually accredited unless this has been specifically agreed in writing.

As an Affiliate Member, you may:

  • Describe your platform or organisation as "in affiliation with IPHM" or "an IPHM Affiliate Member"
  • Use the IPHM Affiliate logo (where provided) on your website and marketing materials
  • Reference your IPHM affiliation in your communications

As an Affiliate Member, you may NOT:

  • Describe yourself or your courses as "IPHM accredited"
  • Use the IPHM Trustmark or Accreditation logos
  • Issue student certificates featuring the IPHM Accreditation Trustmark
  • Imply that your courses or qualifications are individually accredited by IPHM

If you wish for individual courses or your full platform to be IPHM accredited, this is a separate process and must be agreed with IPHM in writing. Please contact us at to discuss accreditation options.


Pre-Requisites for Affiliate Members

Only platforms and courses meeting the following criteria will be eligible for Affiliate Membership.

Courses must have:

a) Clear learning objectives and outcomes b) Coherent structure and educational content c) Student support to help completion, whether online or face to face. This may include tutor support or feedback if required.

Your website must include:

  1. Terms and Conditions page
  2. Privacy Policy page
  3. Code of Ethics
  4. Refund and Complaints Policy
  5. Contact page

Before awarding a student a certificate, the following must be met:

a) The student must have completed an exam consisting of a minimum of 20 questions, or learning reviews throughout the course. b) Students who successfully complete a course delivered by you may only be classed as IPHM approved therapists or practitioners when they have personally subscribed to IPHM and completed an IPHM application form.


What You Are Agreeing To

Online and distance learning courses You confirm that you hold full copyright for all course material you provide, and that the content is unique to your training school or that you have full permission to use it.

Invasive courses will not be approved for Affiliate listing.

No online training in any invasive beauty therapy courses or aesthetics will be accepted.

Course material and copyright Any course material submitted must have been written by you, written for you, or used with full permission. You are responsible for any copyright infringement claims arising from material submitted to IPHM.

Creating student certificates Only courses listed on your Affiliate profile have been reviewed by IPHM. Please do not use the certificate creator for any course not pre-listed.

Certificates issued by Affiliate Members must NOT carry the IPHM Trustmark or Accreditation logos, as your courses are not individually accredited. You may reference your IPHM Affiliate Membership status on certificates using approved Affiliate wording (please contact us for current approved language).

To add a new course to your listing, please submit a request via your dashboard.

Affiliate platform requirements You must ensure that your platform has in place its own Terms and Conditions, Refund Policy, and Complaints Procedure for your students and clients. IPHM does not handle complaints or refunds for students of Affiliate Members. These remain entirely the responsibility of the Affiliate Member.

Use of IPHM Affiliate branding You will be provided with approved Affiliate Member branding and language. You agree to use only this approved branding and to refer to your relationship with IPHM accurately at all times.

Student status with IPHM Students who complete your courses are not IPHM accredited unless they personally apply for IPHM membership and complete the application process.


Affiliate Disclaimer for Your Listing

The following disclaimer will be added to your IPHM Affiliate listing where applicable. You must also display this disclaimer (or substantially similar wording) on your own website where you reference IPHM affiliation:

[Affiliate Member Name] is an IPHM Affiliate Member. Their platform and courses have been reviewed for quality and educational standards. Some courses may contain AI-generated content to enhance the learning experience.

While [Affiliate Member Name] may issue certificates or diplomas on completion of their courses, IPHM highly recommends that anyone studying with them reads all the training provider's terms and conditions, refund policy, and complaints procedure before enrolling.

Affiliate Membership with IPHM does not constitute IPHM accreditation of individual courses. IPHM cannot guarantee a qualification, job placement, or any specific outcome.


Affiliate Therapist and Practitioner Provisions

If you employ therapists or practitioners through your platform:

You must under no circumstances mislead your clients by offering therapies of a sexual nature, or services therapists are not qualified to deliver. Therapists must only offer therapies within the limits of their competence and training.

All therapists working under your platform must agree to abide by IPHM's Code of Ethics. It is the Affiliate Member's responsibility to ensure their therapists are aware of these Terms and Conditions.

Misleading the public or clients may result in the immediate removal of your listing. Any Affiliate Member found in breach will have their listing and membership removed with no refund offered.

IPHM holds no responsibility to anyone who has received treatments or consultations with therapists working under an IPHM Affiliate platform. All therapists are confirming they have read and understood our Terms and Conditions and agree to follow our Code of Ethics.


Payment Flow and Delivery

Once you have made payment and submitted your Affiliate application, your application will be processed within 14 working days, provided we have received all relevant documents including your platform details and course samples.

A signed copy of your Affiliate Membership certificate will be sent to you as an attachment with your acceptance email, ready to download.

Once your certificate has been issued, you have entered into a legal and binding contract with IPHM as set out below.


Refund Policy

All IPHM Affiliate memberships are annual and run for a 12 month period. Whether you pay upfront or by monthly instalments, you are committing to the full 12 month term. This works in a similar way to insurance. Once your membership is active and your Affiliate certificate has been issued, we are unable to offer refunds simply because you change your mind.

Please read this section carefully before applying.

1. Application rejected by IPHM If we are unable to accept your application for any reason, you will receive a full refund. No admin charge applies.

2. Application accepted, change of mind before your certificate is issued In exceptional cases, where you change your mind very shortly after we have accepted your application and before your certificate has been issued or listing published, we may at our discretion offer a partial refund. An admin charge of £35 will be deducted to cover the work already carried out by our team. This is not an automatic right and is reviewed case by case.

3. Monthly instalment plans If you have chosen to pay by monthly instalments, your first payment includes a non refundable deposit and forms part of your commitment to the full 12 month term. You remain liable for all monthly payments during this period, even if you decide to stop trading or no longer wish to use your membership. Please refer to our Cancellation Policy below for details on Early Termination Charges. Full pricing details are available on our pricing page.

4. Annual renewal Memberships renew automatically each year. We send a reminder 10 days before your renewal date, giving you the chance to cancel before the new term begins. Once your renewal has processed and your renewed certificate has been issued, no refund will apply.

5. Pre-requisites and missing information It is your responsibility to ensure your platform meets our requirements (Terms, Privacy, Code of Ethics, Refund and Complaints Policy, Contact page) and that you have all required course materials in place before you apply. If your application cannot proceed because you are unable to provide the necessary evidence or your platform does not meet our standards, this is not grounds for a refund once your application has been accepted in principle.

6. Exceptional circumstances We understand that life sometimes gets in the way. In cases of serious illness, bereavement, or other significant personal circumstances, we may, at our discretion, pause your membership for up to 3 months rather than offering a refund. Please contact us at to discuss your situation.

7. Immediate access to your membership Because IPHM Affiliate Membership begins as soon as your application is approved, your service is considered started immediately. By submitting your application and accepting our terms, you are asking us to begin work on your Affiliate listing right away. This means the 14 day cancellation right under the Consumer Contracts Regulations 2013 does not apply once your certificate has been issued or your listing published.

8. Incomplete Applications and Supporting Documentation
Applicants are required to provide all supporting documentation requested as part of the accreditation process. Applications will not be approved until all required information and documentation have been received and satisfactorily reviewed.
Where requested documentation is not provided within the timeframe specified by the organisation, the application may be suspended or closed without further notice. Any application fees paid are non-refundable, and a new application and applicable fee may be required should the applicant wish to reapply at a later date.


Cancellation Policy

Yearly Subscriptions

If you have paid via yearly subscription, payments are deducted automatically by PayPal, Stripe, or our chosen payment provider on each renewal date. We send reminders 10 days before renewal but cannot guarantee these are received.

To cancel, please notify us at least 7 days before your renewal date, or as soon as you receive your reminder. Once your renewal certificate has been issued, no refund will apply.

It is the member's responsibility to inform us of any changes such as a new email address or contact details. IPHM accepts no responsibility for emails not being received but will resend a copy of your reminder on request.

If you pay via PayPal subscription, you must cancel the subscription directly through your PayPal account. We will assist on request, but cancellation must be completed by you.

Once your subscription is cancelled, your details and listing will be removed from our website. You will no longer be entitled to use the IPHM Affiliate logo, refer to your platform as IPHM affiliated, or display IPHM affiliation on student certificates.

Monthly Instalments, Minimum Period and ending your Agreement

Important, please read carefully if you have chosen to pay by instalments.

Your monthly payments will be due on the same date each month as you signed up. All payments are inclusive of VAT.

Your Pay Monthly Membership Agreement has a minimum term of 12 months. After this period, you may end the agreement by giving us 30 days' notice (unless any other statutory or regulatory rules apply).

If monthly payments are not made on time, IPHM has the right to request the full balance outstanding. If you have any difficulty making payment, please contact us immediately.

If you wish to end the agreement during the Minimum Period, or if we end the agreement as a result of your material breach, you will be required to pay an Early Termination Charge equal to your remaining monthly payments for the rest of the minimum period.

We may end the agreement without your consent if you have outstanding payments due, or if we have reason to believe the service is being used fraudulently, illegally, or in a way that could harm our reputation.

Cancellation midway through renewal

This is a rolling contract and will renew automatically unless cancelled. You will always be sent a reminder 10 days prior to renewal. Please ensure we are notified before your renewal certificate has been issued. Once issued, no refund will apply, and an Early Termination Charge will be due if you wish to cancel midway through your renewal year.

Amendment of listing fees

Amendments to your listing can be requested via your member dashboard. Standard amendments are made free of charge within 48 hours. Significant changes such as a change of trading name, certificate, or in-depth profile updates may incur an admin fee.


How to Cancel Your Membership

If you have set up a yearly PayPal subscription, you must cancel this directly through PayPal. If you request a cancellation, we will send you instructions on how to do this.

It is the member's responsibility to cancel PayPal subscriptions directly. IPHM will not be eligible to refund payments where this has not been completed and your renewal certificate has already been issued. We are happy to assist if needed.

Although you may receive a cancellation letter from IPHM, you must still ensure your PayPal subscription has been cancelled by you.

This is a rolling contract and renewal will continue unless cancelled. You will always be sent a reminder 10 days prior to automatic renewal, so please ensure we are notified before your renewal certificate has been issued.

On cancellation, you must:

  • Remove the IPHM Affiliate logo from any website, marketing materials, or paperwork
  • Stop describing your platform as IPHM affiliated
  • Stop displaying IPHM affiliation on student certificates
  • Destroy any IPHM Affiliate certificates and printed materials

Failure to do so may result in membership fees being owed and made payable to IPHM, and may result in legal proceedings.

Note on existing students: Students who completed courses with you while you held valid IPHM Affiliate Membership may retain their certificates. However, you cannot issue new certificates referencing IPHM affiliation after your membership has ended.

  • Use only approved IPHM Affiliate branding and language
  • Never misrepresent your Affiliate Membership as IPHM Accreditation
  • Comply with the laws and licensing requirements of the country in which you operate
  • Not bring IPHM into disrepute through your actions, behaviour, or communications

Failure to meet these obligations may result in suspension or withdrawal of your Affiliate Membership.

Complaints Procedure

IPHM does not handle complaints from students of Affiliate Members directly. Complaints must be raised first with the Affiliate Member, who is responsible for managing complaints in line with their own published complaints procedure.

IPHM will only mediate where a complaint is unresolved and the Affiliate Member has refused to handle the complaint, or where the complaint relates directly to the Affiliate Member's IPHM affiliation status (for example, misrepresentation as accredited).

IPHM reserves the right to suspend or withdraw Affiliate Membership depending on the nature and severity of the complaint, and the number of complaints lodged. No refund will be issued if a complaint is upheld.

We collect personal data when you create an account, apply for accreditation or membership, or contact us. This may include:

  • Professional details, qualifications, and insurance information
  • Information and attachments submitted via application forms
  • Records of communications with our team, including enquiries and how we responded

We only retain information that is necessary and relevant to your membership, accreditation, or subscription. We do not collect more data than we need.


How Long Do We Keep Your Data?

We retain personal data for the duration of your membership or accreditation, and for the following periods thereafter:

  • Active members and accredited practitioners: for the duration of membership plus 3 years
  • Lapsed or cancelled memberships: up to 3 years, for administrative and re-subscription purposes
  • Application records (unsuccessful or withdrawn): up to 12 months
  • Financial and transactional records: up to 7 years, in line with HMRC requirements
  • Communications and enquiry records: up to 3 years from the date of last contact

If you request permanent deletion of your data, we will securely remove it from our systems where legally permissible. Any printed documents containing your personal data will be securely shredded.


How Do We Use Your Information?

We use your personal data to deliver, maintain, and improve the services we provide, including:

  • Creating and managing your account and professional listing
  • Processing applications, renewals, and subscriptions
  • Verifying accreditation, training, or professional status
  • Communicating important updates related to your membership or accreditation
  • Sending our newsletter, professional updates, and regulatory or accreditation related information (where you have opted in)
  • Improving our services and website functionality

Mailing List and Marketing

We will only send you marketing or promotional communications where we have a lawful basis to do so. This is either because:

  • You have given your consent, or
  • We have a legitimate interest in keeping you informed about relevant services as an existing member

You can withdraw your consent or object to receiving marketing communications at any time by clicking unsubscribe in any marketing email, or by contacting us at . Withdrawing consent does not affect the lawfulness of any processing carried out before you withdrew it.

Please note: essential service communications (such as renewal reminders, accreditation updates, and important notices about your membership) are not classed as marketing and will continue while your membership is active.


AI Tools and Automated Assistants

IPHM now uses AI assistants on our websites to help with member queries and provide information. Currently this includes:

Sarah — our AI conversation assistant available on iphm.co.uk and iphmgrowthhub.com, designed to help answer common questions about membership, accreditation, and IPHM services.

How Sarah uses your data:

  • Sarah processes the questions you ask in the chat to provide relevant responses
  • Conversation transcripts may be stored temporarily to improve the quality of responses and identify common queries
  • Sarah does not make any decisions about your membership or accreditation
  • All decisions about applications, accreditation, complaints, or membership are made by IPHM staff, not by AI

Your rights:

  • You are not obliged to use Sarah and can contact our team directly at any time at
  • You have the right to request human contact at any point during your interaction with Sarah
  • You have the right to know if any decision affecting you has been made using automated processes

We do not use AI to make any automated decisions that produce legal effects or significantly affect you. All accreditation, membership, complaints, and disciplinary decisions involve human review.


Subscription Services

Information added to our Subscription Service, either by visitors providing their contact details or by members adding their own information, is stored and managed on our service providers' servers. This information is used to communicate with you about IPHM services, accreditation, renewals, and professional updates relevant to your membership or interest.


Do We Share Your Data?

We may share your personal data with:

  • Trusted third party service providers who support our operations, including payment processing (PayPal, Stripe), email communications, AI services, hosting, and IT services
  • Affiliated companies within our corporate group
  • Partner organisations where integration of services is required (for example, professional listing platforms or social media)

Where third parties process personal data on our behalf, appropriate Data Processing Agreements are in place to ensure compliance with UK GDPR. We only share information that is necessary and relevant to your membership or accreditation.

IPHM supports practitioners and training providers internationally. IPHM membership and accreditation services are intended for adults aged 18 and over.

Code of Ethics

Section 1: Principles for All Members

These principles apply to every IPHM member, regardless of membership type.

1.1 Respect and Dignity

We treat every client, student, colleague, and member of the public with respect, kindness, and dignity, regardless of their background, beliefs, or circumstances.

We do not discriminate on the basis of race, ethnicity, nationality, religion, gender, gender identity, sexual orientation, age, disability, neurodiversity, body size, socioeconomic status, or any other characteristic.

1.2 Honesty and Integrity

We are honest about our qualifications, experience, and the services we offer. We do not exaggerate our credentials, make misleading claims, or imply expertise we do not have.

We never claim to be IPHM accredited beyond the actual scope of our membership (for example, Affiliate Members do not represent themselves as IPHM accredited).

1.3 Working Within Our Competence

We only offer therapies, treatments, courses, or services we are properly trained and qualified to deliver. If a client or student needs something outside our competence, we refer them on appropriately.

We do not diagnose medical conditions or claim to cure, treat, or heal specific illnesses unless we are medically qualified to do so.

1.4 Honesty in Claims and Advertising

Our marketing and advertising is truthful, evidence-based where possible, and free from exaggerated or misleading claims.

We follow the advertising standards in our country (for UK members, this includes ASA and CAP guidance). We do not make medical claims about our services unless legally permitted to do so.

We avoid testimonials that imply guaranteed outcomes, and we never invent or misrepresent client experiences.

1.5 Confidentiality

We treat all client and student information as confidential. We only share information with the client's specific consent, or where there is a clear safeguarding concern, legal requirement, or risk of serious harm.

For supervision, research, teaching, or publication, the identity of clients and students must always be protected.

1.6 Records and Data

We keep accurate, secure, and confidential records of our work. Clients have the right to inspect records held about them.

We comply with UK GDPR and data protection laws in our country.

1.7 Professional Boundaries

We maintain clear, respectful boundaries with our clients and students. Sexual contact or romantic involvement with a current client or student is never appropriate and is grounds for immediate withdrawal of IPHM membership.

We are mindful of dual relationships (where we have more than one type of relationship with a person) and discuss these openly when they arise.

We are thoughtful about contact with clients and students outside the professional setting, including on social media. We use professional judgement and put the wellbeing of the client or student first.

1.8 Insurance and Legal Compliance

We hold valid professional insurance covering our practice (where applicable to our membership type and country).

We comply with the laws and regulations of the country in which we operate, including any licensing requirements for our specific therapies, treatments, or courses.

1.9 Hygiene and Safety

We maintain high standards of hygiene and safety in all settings where we work with clients or students.

1.10 Continuing Professional Development

We commit to ongoing learning. We keep our knowledge and skills current, attend training, seek supervision or mentoring where appropriate, and reflect on our practice.

1.11 Self-Care and Wellbeing

We recognise that our own wellbeing affects our ability to support others. We commit to looking after ourselves physically, emotionally, and spiritually, and to seeking support when we need it.

We do not allow our own emotional, financial, or personal needs to intrude on our professional relationships.

1.12 Social Media and Online Conduct

We are mindful that our online presence reflects on our practice, our clients, and the wider holistic and beauty professions. We do not post content that is discriminatory, defamatory, harmful, or that could bring IPHM or our profession into disrepute.

We respect client and student confidentiality online and never share identifying information without consent.

1.13 Use of AI Tools

Where we use AI tools in our practice (for example, for marketing, scheduling, or content creation), we do so transparently and responsibly. We do not pass AI-generated content off as our own personal expert advice. We never input identifiable client information into AI tools without explicit consent and proper data protection safeguards.

1.14 Cooperation with IPHM

We agree to cooperate fully with IPHM in matters relating to our membership, accreditation, complaints, and any concerns raised about our practice. This includes responding to communications from IPHM in a timely manner and engaging constructively with the complaints process. 


This includes communications with IPHM staff and team members. Rude, aggressive, or disrespectful communication toward the IPHM team is a breach of this Code and may result in the consequences outlined in the Failure to Comply section.


Section 2: Safeguarding

Safeguarding is everyone's responsibility. As IPHM members, we are committed to protecting the people we work with, especially children, young people, and vulnerable adults.

2.1 Recognising Harm

We are alert to signs of abuse, neglect, exploitation, or harm in those we work with. This includes physical, emotional, sexual, and financial abuse, as well as self-harm and suicidal ideation.

2.2 Working with Vulnerable Clients

We take particular care when working with clients who may be vulnerable, including those experiencing:

  • Mental health difficulties
  • Trauma or PTSD
  • Addiction or recovery
  • Eating disorders or disordered eating
  • Bereavement or significant loss
  • Isolation or coercive control
  • Serious illness

We work within our competence, refer to appropriate professionals where needed, and never offer services we are not trained to deliver to people in vulnerable situations.

2.3 Working with Children and Young People

If we work with anyone under the age of 18, we follow appropriate safeguarding practice. This includes:

  • Always working with the consent of a parent or guardian
  • Never being alone with a child without appropriate safeguarding measures in place
  • Never sharing identifying information or images of a child online without verified parental consent
  • Reporting any concerns about a child's welfare to the appropriate authorities

Members working with children or vulnerable adults are strongly encouraged to hold a current DBS check (or equivalent in their country). IPHM will be offering a member benefit relating to DBS checks, details to follow.

2.4 Reporting Concerns

If we have a serious concern about the safety or wellbeing of a client, student, or any other person, we have a duty to act. This may include:

  • Contacting the relevant safeguarding authorities in our country
  • Notifying IPHM where a concern relates to another IPHM member
  • Breaking confidentiality where there is a clear risk of serious harm

2.5 Boundaries with Clients in Distress

If a client discloses serious mental health concerns, suicidal ideation, or risk to themselves or others, we respond with care, do not offer services beyond our competence, and signpost to appropriate professional support (such as their GP, a mental health crisis line, or relevant local services).

A separate IPHM Safeguarding Policy is in development and will provide detailed guidance and reporting procedures.


Section 3: For Practitioners

In addition to the principles above, IPHM Practitioners commit to:

  • Establishing a clear, mutually acceptable agreement with each client at the start of the relationship, covering fees, time, frequency of sessions, technique, boundaries, confidentiality, and follow-up
  • Affirming the client's right to refuse or end any treatment at any time
  • Working in service of the client's self-determination and wellbeing
  • Making the IPHM Code of Ethics available to clients on request
  • Recognising and openly discussing any potential conflict of interest before treatment begins
  • Maintaining the right to decline to work with a particular client where appropriate, but never in a way that constitutes unfair discrimination

Section 4: For Training Providers

In addition to the principles above, IPHM Training Providers commit to:

  • Delivering only courses listed and approved on their IPHM accreditation
  • Holding full copyright for course material, or having permission to use it
  • Issuing student certificates only after the student has completed the training and demonstrated the necessary skills
  • Being clear with students that their certificate from your school does not automatically make them IPHM accredited (they must apply separately)
  • Being responsible for the conduct, qualifications, and compliance of any Sub-Educators delivering courses on their behalf
  • Treating students fairly, professionally, and inclusively
  • Providing a clear refund policy, complaints procedure, and terms and conditions for students

Section 5: For Sub-Educators

In addition to the principles above, IPHM Sub-Educators commit to:

  • Only delivering courses approved on their parent Training Provider's IPHM listing
  • Recognising that their Sub-Educator status depends on the active membership of their parent Training Provider
  • Maintaining a respectful, professional working relationship with their parent Training Provider
  • Following the Training Provider's standards and procedures while delivering their courses
  • Issuing certificates only for approved courses, in accordance with IPHM and Training Provider guidance

Section 6: For Affiliate Members

In addition to the principles above, IPHM Affiliate Members commit to:

  • Being clear at all times that Affiliate Membership is NOT IPHM Accreditation
  • Never representing themselves or their courses as IPHM accredited unless this has been specifically agreed in writing
  • Using only approved IPHM Affiliate branding and language on their platform, website, and student certificates
  • Maintaining their own Terms and Conditions, Refund Policy, and Complaints Procedure for their students
  • Handling student complaints directly and professionally, in line with their published procedures
  • Ensuring all therapists, practitioners, or educators working under their platform are aware of and abide by this Code of Ethics

Complaints

If a client, student, or member of the public has a concern about an IPHM member, the complaint should be raised first directly with the member concerned.

If the matter is not resolved within 28 days, a formal complaint can be submitted to IPHM via our Complaints Form. Full details of our complaints procedure are available in our Terms and Conditions.

IPHM members agree to engage constructively and in good faith with any complaints process, and to abide by the decisions of our independent appeals panel where applicable.


Failure to Comply

Failure to comply with this Code of Ethics may result in:

  • A formal warning
  • Suspension of membership
  • Withdrawal of accreditation or affiliation
  • Removal from the IPHM directory

In serious cases, withdrawal may take place without notice. No refund will be issued where membership is withdrawn due to a breach of this Code.

Introduction

Safeguarding is everyone's responsibility. At IPHM, we are committed to protecting the wellbeing, safety, and dignity of every person who comes into contact with us, our members, or our activities.

This policy sets out how IPHM and our members recognise, respond to, and report safeguarding concerns. It applies to:

  • Children and young people under the age of 18
  • Adults at risk (sometimes called "vulnerable adults")
  • Anyone who may be at risk of harm in the context of IPHM membership, services, events, or member activities

This policy works alongside our Code of Ethics and Terms and Conditions. All IPHM members are required to read, understand, and follow this policy.


Our Commitment

IPHM commits to:

  • Putting the safety and wellbeing of children, young people, and adults at risk first
  • Creating a culture where safeguarding concerns can be raised openly, without fear of judgement
  • Acting promptly and appropriately on any concerns brought to us
  • Working in line with UK safeguarding law and best practice
  • Supporting our members to safeguard well in their own practice
  • Reviewing this policy annually and updating it as needed

Who This Policy Applies To

This policy applies to:

  • All IPHM members (Practitioners, Training Providers, Sub-Educators, Affiliate Members)
  • IPHM staff, directors, and contractors
  • Anyone delivering IPHM events, retreats, workshops, or online activities
  • Anyone attending IPHM events or accessing IPHM services
  • Sub-educators, employees, and contractors of IPHM members where their work relates to IPHM accreditation or affiliation

Key Definitions

Child or young person: Anyone under the age of 18.

Adult at risk: An adult (18 or over) who has needs for care or support, is experiencing or at risk of abuse or neglect, and as a result of those needs is unable to protect themselves.

Abuse: Any action (or inaction) that causes harm or distress to another person. This includes physical, emotional, sexual, financial, psychological, discriminatory, and institutional abuse, as well as neglect, exploitation, coercive control, and online abuse.

Disclosure: When someone tells you (directly or indirectly) that they are being harmed, have been harmed, or are at risk of harm.

Designated Safeguarding Lead (DSL): The named person at IPHM responsible for managing safeguarding concerns.

Recognising Abuse and Harm

Abuse can take many forms. The following are signs that someone may be at risk or experiencing harm. This list is not exhaustive.

Physical abuse: Unexplained injuries, bruising, fear of physical contact, reluctance to remove clothing, fear of going home.

Emotional or psychological abuse: Withdrawal, low self-esteem, anxiety, fear of certain people or situations, reluctance to speak up, signs of being controlled or manipulated.

Sexual abuse: Inappropriate sexual knowledge or behaviour, fear of certain people, signs of physical injury, sexually transmitted infections in children, sudden behavioural changes.

Neglect: Poor hygiene, hunger, inadequate clothing, untreated medical needs, being left alone in unsafe situations.

Financial abuse: Unexplained loss of money or possessions, pressure to give money or sign documents, control over finances by another person.

Discriminatory abuse: Harassment or mistreatment because of race, ethnicity, religion, gender, sexual orientation, disability, age, or other protected characteristics.

Coercive control: Pattern of behaviour where one person controls another through intimidation, isolation, threats, or manipulation.

Modern slavery and exploitation: Signs of being trafficked, forced labour, debt bondage, restricted movement, reluctance to talk about employer or living arrangements.

Online abuse: Cyberbullying, grooming, sharing of inappropriate images, online harassment.

Self-harm or suicidal ideation: Talking about wanting to die, expressing hopelessness, withdrawing from others, giving away possessions, signs of self-injury.


Working with Children and Young People

If you work with anyone under the age of 18 as part of your IPHM accredited or affiliated practice, you must:

  • Always work with the consent of a parent or legal guardian
  • Never work alone with a child without appropriate safeguarding measures in place
  • Have a chaperone (usually a parent or guardian) present where possible
  • Use private spaces appropriately, ensuring visibility or open doors where suitable
  • Never share identifying information, photos, or videos of a child online without verified parental consent
  • Communicate with children only through channels visible to a parent or guardian
  • Never give personal contact details (e.g. personal phone number, social media) to a child
  • Be aware of and follow the laws of the country in which you practise

DBS checks: Members working with children are strongly encouraged to hold a current Enhanced DBS check (or equivalent in your country). IPHM will be offering a member benefit relating to DBS checks, details to follow.

If you do not hold a current DBS check and you regularly work with children, we strongly recommend you obtain one before continuing this work.


Working with Adults at Risk

If you work with adults who may be at risk, you must:

  • Take particular care to obtain informed consent
  • Be alert to signs of coercion, control, or undue influence (e.g. someone accompanying the client who speaks for them, or who appears to make decisions on their behalf)
  • Be aware that your services may form part of someone's recovery or vulnerability and respond with care
  • Refer to appropriate professionals where a client's needs are beyond your competence
  • Maintain clear professional boundaries
  • Document concerns appropriately

Adults who may be at risk include those experiencing:

  • Mental health difficulties
  • Trauma or PTSD
  • Addiction or recovery
  • Eating disorders or disordered eating
  • Bereavement or significant loss
  • Domestic abuse or coercive control
  • Isolation or loneliness
  • Serious physical illness
  • Cognitive impairment, dementia, or learning disabilities
  • Modern slavery, trafficking, or exploitation

Inclusive Safeguarding

Safeguarding must be inclusive. Members commit to recognising and responding to the specific safeguarding needs of:

LGBTQ+ clients and students: Be aware that LGBTQ+ individuals may face higher risks of discrimination, hate crime, mental health challenges, and family rejection. Create a welcoming, affirming environment.

Neurodivergent clients and students: Recognise that neurodivergent people (including those with ADHD, autism, dyslexia, dyspraxia) may have different communication needs, may mask distress, or may need adjustments to feel safe. Ask, don't assume.

Clients and students with disabilities: Ensure your services are accessible. Consider physical accessibility, sensory needs, and communication preferences. Disabled adults may face higher risks of abuse and neglect.

Clients and students from different cultural or religious backgrounds: Be aware of cultural sensitivities, including around touch, modesty, language, and family dynamics. Do not assume your cultural framework applies to everyone.

Clients in mental health crisis: If a client discloses suicidal ideation, self-harm, or risk to themselves or others, respond with care, do not offer services beyond your competence, and signpost to appropriate professional support.


Mental Health Crisis Response

If a client, student, or member of the public discloses that they are at immediate risk of harm to themselves or others, you must:

  1. Stay calm and listen. Do not panic or push them away.
  2. Take them seriously. Do not minimise or dismiss what they are sharing.
  3. Do not promise confidentiality. Be honest that you may need to share what they have told you to keep them safe.
  4. Signpost to professional support immediately. UK contacts include:
    • Samaritans: 116 123 (24/7, free)
    • NHS 111: for urgent but non-life-threatening mental health support
    • 999: for immediate life-threatening risk
    • Crisis Text Line: Text SHOUT to 85258
  5. Do not leave them alone if they are at immediate risk. Stay with them or ensure another responsible person is with them.
  6. Document what was disclosed and what action you took.
  7. Notify IPHM if the disclosure relates to an IPHM member, event, or context.

Reporting a Safeguarding Concern

The action you take depends on the level of risk.

Immediate risk of serious harm (life-threatening or urgent)

Call 999 (UK) or your country's emergency services immediately. Do this first, before contacting anyone else.

After contacting emergency services, notify IPHM at marked "Safeguarding, Urgent."

Significant safeguarding concern (not immediately life-threatening)

Report to the appropriate authority in your country:

  • UK, concerns about a child: Contact your local authority Children's Services or the NSPCC Helpline on 0808 800 5000 (24/7).
  • UK, concerns about an adult at risk: Contact your local authority Adult Social Care team. You can find your local team via www.gov.uk/report-abuse-of-older-person.
  • UK, suspected modern slavery: Modern Slavery Helpline 08000 121 700.
  • Outside the UK: Contact your local equivalent safeguarding authority.

After reporting, notify IPHM at marked "Safeguarding."

Concern about an IPHM member's conduct

If your concern relates specifically to the conduct of an IPHM member (e.g. you believe they have acted inappropriately, breached safeguarding principles, or put someone at risk), report directly to IPHM at marked "Safeguarding, Member Concern."

We will investigate in line with our complaints procedure (see Terms and Conditions).

Ongoing or lower-level concern

If you are unsure whether something is a safeguarding issue, or you want advice before taking action, you can contact the Designated Safeguarding Lead at IPHM for guidance.

What to Do if Someone Discloses Abuse to You

If a child, young person, or adult discloses abuse to you, follow these steps:

  1. Listen without interrupting. Let them speak in their own words.
  2. Stay calm. Your reaction matters. Try not to show shock, anger, or disbelief.
  3. Take them seriously. Believe what they are telling you.
  4. Reassure them they have done the right thing by telling you.
  5. Do not promise confidentiality. Explain you may need to share what they have told you to keep them (or others) safe.
  6. Do not investigate. Do not ask leading questions, push for more detail, or try to confirm what happened. Your role is to listen, not investigate.
  7. Make a written record as soon as possible. Use the person's own words where you can. Note the date, time, location, what was said, and any visible signs.
  8. Report the concern. Follow the reporting procedure above.
  9. Look after yourself. Hearing a disclosure can be distressing. Seek support from a supervisor, colleague, or your own support network.

Confidentiality and Information Sharing

Confidentiality is important, but it cannot override safeguarding.

You may share information without the consent of the person concerned if:

  • A child or vulnerable adult is at risk of harm
  • There is a risk to life or serious injury
  • A serious crime has been committed or is about to be committed
  • You are required to share by law

When sharing safeguarding information, share only what is necessary, with the right people, securely, and in line with UK GDPR.

If you are unsure whether to share, contact the Designated Safeguarding Lead at IPHM for advice.


Records of Safeguarding Concerns

IPHM keeps secure, confidential records of all safeguarding concerns reported to us, including:

  • Date and nature of the concern
  • Who reported it
  • Action taken
  • Outcome

These records are stored securely in line with UK GDPR and our Privacy Policy. They are kept for a minimum of 7 years, or longer where required by law or in the interests of safeguarding.


Safeguarding at IPHM Events and Activities

This section applies to all IPHM-organised events, including workshops, retreats, sound baths, in-person training, and live online events.

For all IPHM events, we commit to:

  • Identifying any safeguarding risks specific to the event in advance
  • Ensuring at least one named person at the event is responsible for safeguarding
  • Providing clear contact details for raising concerns
  • Following appropriate procedures if children or adults at risk will be present
  • Ensuring all event staff and contractors understand this Safeguarding Policy
  • Acting promptly on any concerns raised during or after the event

For events involving children:

  • Parental or guardian consent is required
  • Adults working with children at IPHM events must hold a current DBS check or equivalent
  • Children must not be left alone with an adult without appropriate safeguarding measures

For online events:

  • Safeguarding applies online too
  • Recordings, screenshots, and use of personal information must be handled in line with consent and GDPR
  • Inappropriate behaviour in chat or breakout rooms will be addressed immediately

Safer Recruitment

For IPHM staff, contractors, and anyone delivering IPHM activities:

  • We carry out appropriate checks on people working with children or adults at risk on behalf of IPHM
  • This may include references, DBS checks, qualification verification, and identity checks
  • All staff and contractors are made aware of this Safeguarding Policy as part of their induction

Training and Awareness

All IPHM staff and directors complete safeguarding awareness training appropriate to their role.

IPHM members are expected to:

  • Read and understand this Safeguarding Policy
  • Stay informed about safeguarding good practice in their field
  • Undertake safeguarding training where relevant to their work (especially if working with children or adults at risk)
  • Refresh their knowledge regularly

Whistleblowing

If you have a concern about poor safeguarding practice, abuse, or wrongdoing within IPHM or by an IPHM member, you have the right to raise this without fear of negative consequences.

Concerns can be raised confidentially with the Designated Safeguarding Lead at marked "Whistleblowing."

We will:

  • Take your concern seriously
  • Investigate appropriately
  • Protect your identity where possible
  • Not penalise you for raising a genuine concern in good faith

Failure to Comply

Members who fail to comply with this Safeguarding Policy may face:

  • A formal warning
  • Suspension of membership
  • Withdrawal of accreditation or affiliation
  • Removal from the IPHM directory
  • Reporting to relevant authorities where appropriate

In serious cases, withdrawal may take place without notice. No refund will be issued where membership is withdrawn due to a safeguarding breach.

Members who fail to report a serious safeguarding concern they were aware of may also face action.

Growth Hub + Accreditation Plans

Some IPHM membership plans include access to the Growth Hub as part of a combined package. If your plan includes this, the following applies alongside your standard membership terms.

What's included

Your plan gives you IPHM accreditation membership and access to the Growth Hub platform for the duration of your active subscription. These are two distinct elements. Your accreditation is governed by the standard IPHM membership terms. The Growth Hub element is covered below.

The platform

The Growth Hub is delivered via third-party software infrastructure. IPHM configures and supports your access but does not own or develop the underlying platform. Access is provided as is and is subject to the rules and limitations of the underlying software provider.

Your plan covers platform access only. It does not guarantee any specific business outcome, result, or level of performance.

Usage-based charges

Some platform features operate on a usage-based model funded through a prepaid wallet. This includes communication tools such as email, SMS, phone, and WhatsApp, as well as AI features and certain integrations.

You are responsible for:

  • Monitoring your wallet balance
  • Keeping sufficient funds available for the features you use
  • Understanding that charges are deducted automatically and are non-refundable once incurred

IPHM does not monitor wallet balances, approve individual usage actions, or reverse charges on your behalf.

AI tools

The platform includes optional AI-powered features. Outputs may be inaccurate or incomplete and do not constitute professional advice. You are responsible for reviewing all AI-generated content before use.

Optional add-ons

Additional services such as domain purchases or marketplace integrations are optional and carry their own charges, separate from your plan fee. These are non-refundable once enabled.

Your responsibilities

You are responsible for your use of the platform, all content you create or transmit, obtaining lawful consent for any communications, and complying with applicable regulations including GDPR.

IPHM Advertising Guidance

1. Introduction

1.1

The International Practitioners of Holistic Medicine (IPHM) is an independent accreditation body that promotes professional standards across the complementary, holistic, wellness and coaching sectors.

1.2

As part of maintaining IPHM accreditation, all members are expected to uphold the standards set out in the IPHM Code of Ethics and Professional Practice. This includes ensuring that all advertising, marketing and promotional materials are honest, accurate, responsible and comply with applicable legislation and advertising standards.

1.3

This guidance has been produced to help members understand their responsibilities when advertising their services, products, courses and businesses. It should be read alongside the IPHM Code of Ethics and Professional Practice and any relevant guidance issued by professional associations or regulatory authorities.

2. Advertising Standards

When promoting your business, services or training, all information should be:

  • Accurate and truthful.
  • Based on factual and verifiable information.
  • Clear and not misleading.
  • Presented in a way that allows consumers to make informed decisions.

Advertising must not:

  • Break any applicable law.
  • Make false, misleading or unsubstantiated claims.
  • Guarantee results or outcomes that cannot be supported.
  • Exploit vulnerable individuals or those seeking help.
  • Cause unnecessary fear or anxiety about health or wellbeing.
  • Discourage individuals from seeking appropriate medical advice or treatment where required.
  • Bring the complementary therapy or wellness profession into disrepute.

3. UK Advertising Requirements

Members who advertise within the United Kingdom should ensure their marketing complies with the UK Code of Non-broadcast Advertising and Direct & Promotional Marketing (CAP Code), administered by the Advertising Standards Authority (ASA).

Advertising requirements apply across all marketing channels, including:

  • Websites.
  • Social media.
  • Printed brochures and leaflets.
  • Online directories.
  • Email marketing.
  • Videos and webinars.
  • Podcasts.
  • Paid advertising.

Members outside the UK should comply with the advertising laws and standards applicable within their own country or jurisdiction.

4. Health Claims

Care should be taken when making statements about therapies, treatments, coaching or wellbeing services.

Members should:

  • Only make claims that can be supported by appropriate evidence where required.
  • Avoid claiming to diagnose, cure or prevent medical conditions unless legally permitted and appropriately qualified.
  • Clearly distinguish between personal opinion, client experience and established evidence.
  • Avoid implying guaranteed success or specific outcomes.

Where appropriate, members should encourage clients to seek advice from an appropriately qualified healthcare professional for medical concerns.

5. Testimonials and Reviews

Testimonials and reviews can be a valuable way of sharing client experiences but should be used responsibly.

If you publish testimonials within your own marketing, you should:

  • Obtain the client’s permission.
  • Ensure testimonials accurately reflect genuine experiences.
  • Avoid editing testimonials in a way that changes their meaning.
  • Avoid presenting testimonials as evidence that a therapy or treatment is clinically proven.
  • Not use testimonials to support claims that cannot otherwise be substantiated.

Organic reviews published independently on third party platforms are generally outside your direct control. However, once you reproduce or feature them within your own advertising, they become part of your marketing and should meet the same standards as any other advertising content.

6. Evidence

If you make objective claims about the effectiveness, benefits or outcomes of your services, you should be prepared to support those claims with appropriate evidence where required.

Members should retain any documentation or supporting information used to substantiate advertising claims.

7. Good Practice

Before publishing any advertisement, ask yourself:

  • Is this truthful?
  • Can I support every factual claim?
  • Could this wording mislead someone?
  • Would a reasonable person understand exactly what I mean?
  • Does this accurately represent my qualifications and accreditation?
  • Would I be comfortable if this advertisement were reviewed by the Advertising Standards Authority or another relevant authority?

If the answer to any of these questions is no, the advertisement should be amended before publication.

Members should familiarise themselves with any advertising requirements that apply within the country in which they practise.
